Capacity planning

Capacity planning that shows what your agency can actually deliver.

Fifteen projects, ten people, one question nobody can answer: do we actually have the hours? Spreadsheets go stale the day you save them — and by the time someone notices the overload, the deadline is already at risk.

onda keeps the plan live. Every project gets an hourly budget, every person a workload — and tracked hours flow in automatically, so plan and reality never drift apart.

Resource planning for agencies

One view: budgets, people, hours.

01 · Hourly budgets

Give every project a budget it can’t silently blow.

Set the hours a project may use and assign your team to it. onda shows tracked against planned in real time, synced straight from Toggl or its built-in tracker. When a project sits at 277 of 320 hours, you see it — not at the post-mortem, but while you can still act.

02 · Workload & the week ahead

See who’s overbooked before it hurts.

Every person gets a monthly workload from their contract, minus vacations, public holidays and time-account balance — absences flow straight into capacity. Anna at 113% and Paul at 70% stop being a surprise. And the small stuff that eats the plan? Forward any email to onda and it becomes an assigned task, so the week’s real work is on the board too.

FAQ

Capacity planning with onda, answered.

Do we have to change how we track time?+

No. onda syncs tracked hours straight from Toggl — that’s how we run it ourselves. If you’d rather have everything in one tool, we can switch on onda’s built-in tracker. Either way, hours land in your capacity plan automatically.

How does onda calculate available hours?+

From each person’s contract hours, minus vacation, public holidays and their time-account balance. Absence management and capacity planning share one data set, so the plan is built on hours that actually exist.

What happens when a project runs over budget?+

You see it while it’s happening: every project shows tracked against planned hours, per project and per person. Overruns light up in the monthly view — early enough to re-staff, re-scope or renegotiate.

Does it work with freelancers?+

Yes. Anyone who books time on a project can be planned — employees, freelancers, partners. Each has their own contract hours and rates, and both the capacity plan and the cash-flow forecast respect them.

Isn’t a spreadsheet enough for a ten-person agency?+

It’s how we started — and it broke at about five people and ten projects. A spreadsheet doesn’t know about vacations, time accounts or tracked hours, so someone has to keep it honest by hand. onda pulls those pieces together automatically.
